Overview

Our client’s products are used for data science and analytics and their software is designed to make advanced analytics accessible to any data worker.

Challenge

Our client was relying on their newly formed EPMO to evolve and scale to support  the organization’s growth strategy. ViTL was engaged to partner with the PMO leadership to document EPMO processes, improve the EPMO capabilities, and develop a growth and maturity strategy.

EPMO Goals / Desired Outcomes:

  • Increased visibility to key strategic decisions to improve the ability to properly prioritize projects.
  • Improve visibility of organizational initiatives through reporting and dashboarding.
  • Mature the project intake and prioritization procedures to address over-prioritization of “pet projects”.
  • Build the project approval and governance processes. Drive accountability with project sponsors to address scope changes.
  • Establish resource capacity planning and project delivery frameworks and methodologies.
  • Drive advocacy and adoption for the PMO and its value proposition.

Solution

ViTL partnered with the PMO Director to

  • Conduct process flow mapping discussions for the project intake / governance processes.
  • Develop repeatable processes around project scoping and prioritization.
  • Establish a project delivery framework and EPMO toolkit based on current project delivery best practices.
  • Lead organizational change management efforts to build stakeholder buy in and advocacy for the EPMO.
  • Build a resource/capacity planning solution utilizing existing technology.
  • Operationalize and mature specific facets of the PMO sequentially, implementing many of the changes through demonstration within the projects we were managing.

Outcome

  • Defined scope of services and value proposition for the EPMO.
  • Strengthened EPMO leadership skills and capabilities to effectively lead the organizational project portfolio.
  • Aligned the EPMO with the organizational leadership to drive strategic planning and financial and people resource management.
  • Built PM capability and skills resulting in a reputation as the trusted experts for successful project delivery with repeatable project delivery standards of practice, including tools, templates, technology, reporting, etc.
  • Increase project throughput capacity by 5 times.
  • The EPMO has recently expanded and scaled their services outside of IT and high priority strategic initiatives to include running the M&A Integration Management Office.
